For building designers and drafters

Fee proposals and stage updates that write themselves.

Every project moves through the same stages, from first enquiry and fee proposal to concept, revisions, documentation and approval. We set up the admin between those stages so you can stay on the drawings.

The repeat bits in a design practice week

  • Writing fee proposals

The enquiry's details (site, project type, size) become a draft fee proposal from your own stages and fees. You check it and send.

  • Telling clients which stage they're at

A short update at the end of each stage, in your words, so clients aren't left wondering.

  • Keeping track of revisions

Each drawing revision is logged with what changed and who asked for it. Useful when the scope grows.

  • Milestone invoices

When a stage is signed off, the matching invoice is raised in Xero for you to check and send.

  • Tracking approvals

A simple list of what's been lodged, what's waiting and what's approved, for every project.

Where most start: Enquiries and quotes

$1,500–3,500 fixed, inc GST

  • One job set up, usually in 1–2 weeks
  • Works with the email and website you already have
  • Nothing goes to a customer without your OK
  • 30 days of fixes included

One project, stage by stage

  1. Enquiry

Site address, project type and a few lines from the client. A first reply goes out, in your words.

  2. Fee proposal

Drafted from your stages and fees, accepted online, deposit invoice raised.

  3. Design and revisions

Stage updates go out as you sign each stage off. Every revision is logged.

  4. Approval

Lodgement tracked, final stage invoiced, and the client is asked for a review.

What else fits

Questions

Does it touch my CAD files?

No. Your drawings stay in the software you use now. We look after the proposals, updates, revision log and invoices around them.

My fees depend on the project. Can a proposal be drafted?

Yes, as long as there's a pattern, and there usually is: fees by stage, by size or by type of project. We work that out with you first, and you approve every proposal.

Can scope creep be tracked?

That's what the revision log is for: what changed, when and who asked. It makes a variation to your fee an easy conversation.

We use QuickBooks, not Xero.

Xero is where we start, but the same idea often works elsewhere. Ask in the free chat and we'll say plainly what's possible.
